An Unexpired Supplier Certificate Still Needs a Current Status Check
A future expiry date does not replace a current status check. Match the certificate, issuer and supplier, then resolve suspended or missing records without guessing.

Dates and status answer different questions
The expiry date states the end date shown on the document. Current status tells the reviewer whether the certification is presently active or subject to another recorded state.

Consider a hypothetical supplier file containing a certificate with an expiry date next year. If the correctly matched current record is suspended, the remaining calendar time does not turn that status into active certification. Record the conflict and request clarification rather than mark the certificate valid by date alone.

Establish that the record belongs to the certificate
Start with the complete document and any relevant annex. Record the certificate number, named holder, site or sites, standard and issuing body. Use the issuer’s official contact or verification route, or an appropriate accredited-certification directory.
Search for the exact number where possible and compare the returned identity. A similar trading name is not enough. If a group has several facilities, make clear which entity and location the purchasing requirement concerns.
Keep the result’s date and reference beside the document. Avoid treating a screenshot from an earlier order as a new verification. Ask the responsible quality reviewer when the status should be reconfirmed for the present order; this article does not set a universal review interval.
A missing search result is an unresolved question
IAF’s search guidance says an absent suggestion can have several explanations, including a record not yet added, restricted information or removal from the database. Check the number and issuer, retain the exact search attempted, and contact the issuing body through a verified route for clarification. Do not silently treat “not found” as “active,” either. Keep the question open until the required evidence has been obtained.

None of these rows should become an automatic claim about the quality of every product or the legality of a shipment. A credential review is one part of the purchasing file, alongside the product specification, relevant test evidence and destination requirements.
When a supplier provides an updated document, retain the superseded version and reason for replacement. Reconcile its number and current record before closing the open question. A newly attached PDF is not itself an explanation of an earlier status mismatch.
