Verify Changed Bank Details Before Paying a Noodle Invoice
Verify an invoice account change through an independently established supplier contact before approving new payment details.

AI-generated editorial illustration of an independent verification step; not an actual invoice, bank instruction or fraud incident.
A revised invoice that changes the beneficiary account deserves a separate verification step, even when the product, order number and email conversation look familiar. Use a contact route established independently of the change request before authorizing the new payment details.
This is a proposed control for import purchasing teams. It does not report an incident involving Noodle House Food, identify any company bank account or replace your bank's security procedures.
Why the existing email thread is not enough
The FBI's Internet Crime Complaint Center describes business email compromise as a fraud that can involve legitimate business email accounts being compromised. Its current guidance recommends using a separate channel to verify changes to account information. A familiar sender name or thread therefore does not, by itself, authenticate a new payment instruction. See IC3's business email compromise guidance.
A request may also be legitimate. The objective is to verify it before acting, not to label every bank change fraudulent or reject a supplier based on the type of email address it uses.
Keep the change request outside the approved payment record
Consider a hypothetical importer approaching the balance payment on a noodle order. An email arrives with a replacement invoice, the same order total and a different beneficiary account. The message says the previous account is unavailable and asks for an urgent transfer.
Save that request and the prior approved instruction in the restricted order file. Mark the proposed account change as unverified. Do not overwrite the approved vendor record while the check is still open, and do not treat the unchanged invoice total as proof of authenticity.
The accounts team should know which payment is affected and whether it is already queued. Follow its established process for holding an unverified change. This guide does not instruct anyone to send funds to an old account that may no longer be valid.
Verify through a route the new message did not supply
Contact a previously verified supplier representative using contact information already held in your approved records. IC3's guidance specifically recommends using previously known telephone numbers rather than a number supplied in the payment-change request. See the IC3 verification advice.
Do not use a new number in the revised invoice signature as the independent check. Likewise, replying to the same message with “please confirm” remains within the channel you are trying to verify.
Ask the known representative whether the change was requested, which order it concerns and how the authorized details will be confirmed under the agreed process. If your normal contact cannot be reached or cannot validate the request, keep the change unresolved and escalate through the established supplier and finance contacts.
Separate supplier confirmation from internal approval
After confirmation, the person who can amend the vendor payment record still needs to follow the buyer's approval process. A purchasing colleague's note should not automatically bypass that authority.
A concise internal record can identify the invoice and revision, the independent contact route, the date of confirmation, the confirming person's role and the internal approval reference. Store sensitive beneficiary data only in the authorized finance system or restricted transaction file. A content example, public inquiry form or analytics event is not a place for bank details.
If company names, beneficiaries or other material details differ, ask the bank and responsible advisers what evidence is required. Do not invent a rule that a particular mismatch is always acceptable or always criminal.
If payment has already been sent
If suspected fraud is discovered after a transfer, contact the originating bank immediately through its established channel and follow its incident process. IC3 also provides a reporting route. Prompt reporting is not a promise that money can be recovered; keep payment references and original messages available to the authorized responders.
Build the check into the commercial handoff
Our quotation comparison guide covers payment timing and other commercial fields. Account-change verification is a different decision: it concerns whether the instruction came from the intended party and has the required approval.
